JOB SUMMARY: The Rector of the university is the head of the College administration and its representative towards individuals and institutions within and outside of the university.   1. RESPONSIBILITIES AND DUTIES:

 

  1. In accordance with Article 106 of Act 833 of the Specialist Health Training and Plant Medicine Research Act, 2011, the Rector is appointed by the Council of the College and shall hold office on terms and conditions specified by the Council in the letter of appointment.

He or She shall be the Chief Executive Officer of the College as well as the Secretary to the Council.

 

  1. The College as a public sector organization is an agency under Ministry of Health; the Rector will be the Administrative Head of the Agency, as prescribed in the Act.

 

  1. The Rector, together with the Management Board will be responsible to the council for the following:

 

  1. Providing the leadership necessary to ensure that the objectives of the College are fulfilled in accordance with Article 85 of the Act 833 of the Specialist Health Training and Plant Medicine Research Act of 2011. The College shall provide specialist training and promote continuous professional development in pharmacy and its related disciplines. Promote research in pharmaceutical practice and contribute to the formulation of policies on good health, medicine, and general public health.

 

  1. Ensuring that the highest standards of excellence in teaching and research are promoted throughout the College.

 

  1. Developing strategic initiatives and formulating policies under the general guidance of the Council and implementing such policy decisions from time to time as may be determined by the Council.

 

  1. Maintaining and promoting the efficient and proper leadership of the College, including responsibility for proposing and monitoring budgets, implementation of staffing and organizational plans; holding organizational units accountable for delivery of their plans and projects and generally ensuing good and effective running of the College.

 

  1. Undertaking duties that are necessary to promote the College’s national and international interests.

Representing its interests, including developing its fund-raising programmes, maintaining contacts with its alumni and directly influencing other organizations and agencies to ensure the development of governmental policies relating to education and research in pharmacy.

 

  1. Discharging of other duties as may from time to time be determined by the Council.

  2. A Fellow of the Ghana College of Pharmacists or West African Post Graduate College of Pharmacists.

JOB SUMMARY: The Vice-Rector will assist the Rector in the performance of his duties and co-ordinate the day-to-day administration of academic matters of the appropriate Division.

  1. RESPONSIBILITIES AND DUTIES:

 

  • Be the deputy of the Rector to lead the College in all academic and related matters
  • oversees academic planning, academic program review, and curriculum development

 

  • Co-ordinate all academic activities of the Division at national and international levels that contribute to the College’s strategic academic direction;

 

  • Oversee the academic activities of the faculties, as well as other independent academic units, including both the appointment of academic staff and the oversight of those aspects of the College’s quality assurance systems designed to underpin and guarantee the high quality of the College’s teaching and research.

  • Prepare concept papers for the roll out of CDPs.

  • Ensure the timeous departments and units to execute of College activities.
  • Ensure consistent compliance to all quality activities relating to Primaries.
  • Liaise optimally with Academic Affairs, Residency and CPDs, to ensure quicker turnaround times of results to release products.

  • Responsible for the management of the College Library.

  • Using library systems and specialist computer applications
  • Liaising with departmental academic staff, external organizations and suppliers

JOB SUMMARY; The position holder facilitates organizational accountability and integrity through audit of business controls, accuracy of financial records and efficiency of operations. The internal auditor shall further examine the organizational financial records to verify accuracy and compliance with applicable laws and regulations.

 

RESPONSIBILITIES AND DUTIES:

 

  • Performs audit to review supporting documents of operations and communicate findings to management.
  • Collect and analyse data to detect deficiency controls, duplicate effort, excessiveness, wastefulness, and non-compliance with laws, regulations and the organization’s quality management systems.
  • Audit operational and financial systems, administrative records, accountability, procedures, staffing, planning, budgets, legal requirement and quality management systems.

JOB SUMMARY; the successful candidate shall be professionally responsible to the Internal Auditor but shall work under the supervision of the Dean of the Faculty of Applied Sciences.

  • He/ She shall ensure that there is an efficient and effective financial monitoring and control system for the finances of the Faculty.

  • Assist in preparation of the Annual Audit Plan and ensuring implementation of same.
  • Conduct monthly audit to ensure that internal control system on place are working effectively and efficiently.

  • Preparation of the procurement plan for the Entity.
  • Preparation of tender documents in the area of operations of the College.
  • Develop procurement plan for the College.
  • Ensures the college secures the best deal for products and services.
  • Evaluate the prospective suppliers before signing them to ensure they meet the College’s needs.
  • The Procurement Officer is responsible for maintaining and reviewing all records of purchased goods, their costs and inventories.

Coordinate with staff to ensure that all activities in the Procurement Department run as scheduled.

JOB SUMMARY; Responsible for all store’s operational activities of the College, including receiving, deliveries, coordinating stock, documenting store transactions, maintaining records, and overseeing storage and inventory.

 

RESPONSIBILITIES AND DUTIES:

  • Maintain the records area and stores in a neat and orderly manner
  • Work on requisition orders from department heads and execute orders on the instructions of College Administrator
  • Receive and store all materials and supplies with proper records and documentation
  • Report and answer questions on procedures and discrepancies regarding receipts, deliveries, warranties, and damage of stock to Head of Finance, Head of Administration and Rector of the College.
  • Follow security and fire and safety procedures according to rules and regulations

JOB SUMMARY; The Examinations Officer under the direct supervision of the Rector shall be responsible for all the examination issues of the College.

RESPONSIBILITIES AND DUTIES: 

  • Preparing the Academic Calendar of the College.
  • Preparing of all examination time tables of the College.
  • Preparing Examination Invigilation schedule for all examinations of the College.
  • Preparing Project Work Schedule for all programmes of the College and ensuring that all deadlines are adhered to.
  • Preparing lecture time tables, lecturers’ individual schedules and room allocation for all lectures during the semester.
  • Securing all examination scripts after the Academic Board has approved of the results and producing same upon request for Post Examination Moderation.
  • Ensuring that all students do their academic registration and meet deadlines on semester basis.
  • Perform any other duties that will be assigned from time to time as assigned by the Rector.

  • Develops and implements short-term and long-term public relations and marketing programmes that support the overall institution objectives. These programmes that support integrate communications strategies for media relations (print, radio, television and internet), advertising, marketing and brand management
    •   Develops key messages, identifies target audiences and utilizes the latest technology to communicate with those audiences.
    •   Writes and produces most official publications, including Newsletter, quarterly and annual reports. Also writes copy for radio, television and electronic media, as needed to meet objectives of communications programmes

JOB SUMMARY; Estates officers are responsible for the management of estates of land and property belonging to the College.

 

 

RESPONSIBILITIES AND DUTIES:

The Estate Officer shall report to the College Administrator.

  • Follows College guidelines and Principles.
  • Serves as a member of all negotiating teams to procure contracts.
  • Responsible for all matters pertaining to the general upkeep, maintenance and good order of estate.
  • Monitors and reviews progress of projects on site.
  • Identifies, procures and account for supplies and equipment necessary to maintain estates and ensure such supplies and equipment are properly safeguarded.
  • Make arrangement with professionals for repairs of College properties.

JOB SUMMARY; The Information Technology Officer (ITO) is responsible for providing overall management and administration comprehensive computer and communication activities within the college including responsibility for providing a leadership role in the day to day operations of the Information Technology Unit.

QUALIFICATION AND REQUIREMENTS

  • Technology specialist with MBA/MSc/MPhil in Computer Science Computer Engineering/MIS with at least 2 years working experience at senior level management plus.
  • 1st Degree with 5 years’ post-graduate experience in the field.

RESPONSIBILITIES AND DUTIES:

 

  • Ensure daily vehicle checks as required (e.g. check the conditions of the vehicle – the brakes, tyres, level of fuel, lubricants and cleanliness of the vehicle)
  • Complete relevant documentation associated with the reporting of any vehicle defects found and vehicle serviceability
  • Transport staff to and from various locations within and outside the facility in a prompt and efficient manner, ensuring their safety and comfort at all times
  • Take responsibility for the collection and delivery of official supplies and other stocks to and from any designated locations
  • Work and comply at all times, with the GCP/MoH transport policy, guidelines and protocols
  • Keep the vehicle logbook updated regularly

JOB SUMMARY; College Cleaners are responsible for maintaining the cleanliness of College Buildings by performing various cleaning duties. A cleaner may be responsible for any or all of the following tasks. Tasks may also change throughout a cleaner’s employment.

 

RESPONSIBILITIES AND DUTIES:

 

Note: This is not an all-inclusive list. Additional duties may be assigned.

  • Clean Restrooms and disinfects sinks, countertops, toilets, mirrors, floors, etc. Replenish bathroom supplies. Polish metalwork, such as fixtures and fittings.
  • The kitchen and items found in the kitchen
  • All washrooms, windows, doors and floors in the office
  • The outside of the office buildings i.e. sweeping of verandas, clearing of cobwebs etc.
  • Undertakes thorough monthly and quarterly deep cleaning of all places in the office
  • Leave appropriate hand towels for staff to replenish.
  • Designs a system to monitor the use of cleaning materials and logistics

 

 

EXPECTATIONS

 

  • Report to work each day and on time, and work extra hours when needed and requested
  • Comply with proper safety policies and procedures as required (i.e. when using cleaning chemicals, reporting incidents, etc.).
